Radio Ambulante is hiring an Administrative Assistant to support the CEO.


Radio Ambulante is a groundbreaking Spanish language podcast that uses long-form audio journalism to tell neglected and under-reported Latin American and Latino stories. We want to offer an alternative to simplistic media portrayals of this region, and in the process, introduce new Latino and Latin American voices into the American media conversation.

Since our launch in 2012, Radio Ambulante has produced more than 100 episodes from more than 20 countries. In 2014, we won the Gabriel Garcia Marquez Award for Innovation in Journalism, the most prestigious journalism award in Latin America. In 2016, Radio Ambulante signed a distribution deal with NPR, becoming NPR’s first Spanish-language podcast.


Ideal Candidate

Highly organized, detail oriented, able to prioritize and multi-task and complete jobs that you start. You work under pressure and meet deadlines. You are a self-starter, enthusiastic and personable, a clear and concise writer in both English and Spanish. Highly proficient in Word, Excel, PPT, Keynote, Google Drive, Google Cal, Dropbox, Trello, Slack, QuickBooks, WordPress. You have an availability of at least 20 hours per week.

Administrative Responsibilities

-Answer emails, respond to basic inquiries, mail packages.

-Develop and maintain effective administrative and office systems, including file maintenance, routing mail, maintaining contact lists, creating databases, ordering office supplies and maintaining vendor relations.

-Serve as liaison to accounting and finance team, providing reports as needed to those responsible for financial oversight, submit invoices & facilitate contract development.

-Help with bookkeeping and invoicing as needed.

-Make travel arrangements.

-Schedule meetings and manage calendars for the executive team.

-Assist Executive Team with meeting preparation, including preparing documents and presentations, and taking meeting minutes.

-Oversee office information technology systems, including software and hardware, either serving as an in-house resource or coordinating with outside consultants.

-Ensure operation of office equipment (including IT) by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories, and evaluating new equipment needs and software.

-Support fundraising efforts with research, communications with donors, writing grant applications and reports.

-Write newsletters, press releases, promotional materials as needed.

-Assist with other ongoing projects like planning and organizing live events, managing our online store, and updating our website.

Requirements

-BA degree

-Two years of relevant experience

-Excellent written and oral communication skills in both English and Spanish, on par with native fluency

-Self-motivated, creative, troubleshooter

-Quick learner & team player

-Digitally savvy/fluid (able to use programs like Slack, MailChimp, Trello, PPT, Google Apps, Excel, Basic HTML, Keynote, Prezi, Photoshop, Dropbox, etc)

-Have your own computer

-Enthusiasm!

-If you’re based in the US, you’ll need a working permit.

Position

20-30 hours per week paid hourly. The schedule is negotiable and flexible, but there will be a daily check-in for scheduling and following up with email. Work can be remote, but if you are in New York, we would like to schedule a time to meet in person every week.
